Help.....1503s are scanned in, then printed for county workers
to complete and mail to facility and then scanned in again? We
came across a St. Louis County case that looked like they were
able to complete the worker portion in OnBase. True/False?

Originally I was thinking the 1503 was a 2 part process like the
       5181 (Pt1 and 2), but I don't see where we have the 1503 in
Compass Forms anywhere so unless they have it somewhere else
that they are completing it and somehow importing it in, my
guess is that the 1503 doesn't get entered into OnBase until it
       is complete.
So at this point it looks to be a manual process (outside of
OnBse) until the end, at which point it is scanned in and just
       stored in the case file.
Hopefully someone from SLC will chime in here and enlighten
us..Sorry I am not much help.

During the Weekly R3 Supervisor meeting this morning the 1503
came up. The R3 host county (SLC) team has the 1503 as one of
thier processes to be looked at for improvement.
       This is how it reads:
Part 1 - DHS-1503 LTC Physician's Form This form needs to be
completed by the financial worker, then returned to the nursing
facility. We get some via fax, some via email. The fax copies
are currently printed, completed, re-scanned. Is there a way to
make the form renditionable so we can complete the county info
       area without printing?
Part 2 - PA Verification Requests same issue as 1503's. Forms
come in from different housing agencies asking for verification
of client benefits. Not sure there is any way to make these
renditionable as they are not our forms. The current policy is
to do a general note on the form, then fax the form with the
note attached back to the vendor. This issue is that if someone
comes along and deletes your note, and no case note was done
saying info had been faxed back, do we really want to have to
dig to see if the work was ever done? Jodi ( 10/23 ) I will
setup a new document type to test our Word format to see if we
can make changes with this type of process.
I am not sure if this helps or makes it more confusing, Bottom
line here is that this process is being looked at for
       improvement so stay tuned?

I enjoy a renditionable form as much as the next guy, but I
don't see how that could benefit us in either of these
situations. The initial information being entered onto these
forms is from outside the agency, and so would not be stored in
Forms anyway... Aside from printing the forms (or RightFaxing
for those lucky blokes at SLC), or just keeping the originals
outside of OnBase until complete, there's not a great
work-around for this yet... though perhaps we could just take a
cell-phone picture of the worker giving a thumbs-up next to the
form displayed on their computer screen, and text it to the
appropriate location. I'm sure we could avoid HIPAA violations
       if we used SnapChat.

Hummm.. I think you might be on to something there ^ I Like it.
But seriously folks, (Travis is referring to a 1530 conversation
that was started last week on an R3 touchpoint conference call)
I agree, The R3 EDMS as it stands doesn't lend itself (easily)
to this particular need. If we had some additional functionality
like full OCR and Electronic signature we would be in business
but we are not there yet.
It is my belief that this particular process needs a bit more
       discussion.

If we get a form that is blank and has to be completed and sent
elsewhere, we dont scan in the system right away. We put them
in a file a worker checks daily. The worker complete the form
send to whomever requested the info and then scan it in the
case. STill not ideally paperless, but it keeps the clutter out
       of the file.
