Only certain records are required to be kept for so long, not
every piece of information an organisation ever processes.
If they* just record a VRM and don't bother taking any other
details it's unlikely to fall within the scope of information
they're required to keep for a specified period.
*the hotel might not even store the VRM data themselves in the
first instance, they may just receive it verbally and add it
straight onto the parking operator's systems.

But the hotel would be required to keep information which led to
the creation of the invoice which the customer (or, in this
instance, their employer) paid - in this instance that invoice
should reveal the cost of the room and the associated parking
fee thus demonstrating that the parking was paid for.

Additional question for the OP...
Was the car in question actually your car or was it a company
car / lease vehicle?

Hey all thanks for the responses,
Firstly to InterCity125, the car was my car.
I got the subject access request back. It is just a photo of my
car at two different times, as well as the pcn:

I've also spoke to the hotel some more, they've told me:
"I am emailing you regarding a parking fine you have received.
The registration provided in the emails we have been copied in
to doesn't appear on our parking portal and i am unable to find
a parking fine matching the details we have been given."

I've asked for a reduction back to the baseline since this is my
first time hearing about this charge but ParkMaven replied
saying they can't reduce it now that it's with the bailiffs.

Please confirm that you DID NOT confirm that you were driving in
your contact with the operator?
The original PCN is not POFA compliant so they cannot hold you
liable provided that you have not admitted to being the driver.
As far as I can see, nobody suggested that you contact the
operator to ask for the mugs discount to be re-instated?
This is why it is important that you follow the advice given.
Please confirm that you have not revealed the driver?

Perhaps you could send them a copy of PCN and ask them to cancel
it.Otherwise ignore all debt collectors letters and await LBC
when you will be suitably advsed.
