This topic will guide you through using the picture Library
Preferences

Default Folder
Clicking the folder button will open the browse for folder there
you should select the location of your main picture folder
Security Settings
If you want to enable the login screen select require login from
the dropdown list, you should also add a user name and password.
This is only a low level system but should you loss your
username or password you will not be able to access the picture
Library I will have to charge for a password recovery.
Max Size (KB) for Clip
Their are 3 options relating to the size of a picture these are
Clip, Zoom and Stretch when importing images pictures below this
value will be assigned clip should you wish all images to zoom
set this value to 0
Allowed image formats
When adding any images this list will be checked to confirm the
file type you are importing is in this list if not you will
receive a messages advising you you cannot add the image NOTE
when using the import multiple images you will not receive any
warnings but those file types will not be added.
Thumbnails
I would recommend using thumbnails otherwise the library will
have to display the full size images.
By default this is on "Use Thumbnails" will be ticked and there
will be a default folder name of Thumbnails.
If a Thumbnails Folder is found within the big picture folder
with an image of the same name as the big picture this will be
used for the gallery, Picture options, Search screen and Reorder
picture which should speed up the navigation and loading of
screens the big picture screen uses the full sized image.

Updating the UI Colours
Double clicking either the Control Boxes Colour or the Form back
Colour will display the colour Dialog where you can select a new
colour for either.
Once your happy with the colour select OK to update the box with
the colour, when you close preferences the picture library will
be updated with your coulours you can repeat this as many times
as you like until you are happy with the look.

Adding Collections
Using the collections screen is very simple.
To add a new collection click the New Button on the navigation
bar at the bottom of the screen.
You should note this screen does not check for duplicates you
can check this by entering the name into the search box then
ENTER will display the records found.
You can select a collection type from the list or add a new one
into the list should you do this you will be asked if you would
like to add the new item if you answer yes the item will appear
in the list.
you can double click the collection type list to display the
collection type editor.
The search is a search as you type so will display records for
each letter you enter into the list the results will show for
letter(s) found anywere in the collection name

Add/Edit Galleries
When you open the screen the collection will have a default of
the collection that is currently selected on the picture
library if one is selected.
You can select a collection from the list or double click the
list to add a new one this will open the collection screen
above.
You have to give the gallery a name.
Adding a gallery type is not required but is highly recommend,
select a type from the list or add a new type, if adding a new
type the system will ask if you wish to add the type, once added
the list will update
Double click the gallery type to open the gallery type editor.
You can add a description.
You can add more than one new gallery or edit other galleries
for the collection to edit a gallery click the gallery name in
the list, this will update the details as described above.
The buttons at the bottom will disable and enable depending on
what is happening with the data you will be able to navigate the
data moving first, previous, next and last.
the next button allows you to add a new gallery
next is the delete button but you will only be able to delete a
gallery if it has no pictures
the close button returns you to the Picture Library

Using the Picture Library Screen
Starting on the left the buttons are:
Preferences: View the first topic for information on this screen
About: holds contact information for Database Dreams and a link
to this board
Navigation buttons: The first 2 and last 2 buttons allow you to
navigate the selected gallery, depending on how many images
there are and which page you are on these my disable/enable.
Gallery Options button: The center button of the navigation line
opens the gallery options these will be covered later.
Add collection: When you first start using the gallery you will
need to add a collection then a gallery these two screens have
been ccovered above.
Search button: This will be covered in a later section
Picture Control Box:
You will notice there are four buttons above the picture in the
image below
starting from left they are
View The Big Picture: This will open the picture viewer where
you can update the information for a picture
Delete Picture: This will remove the picture from the Gallery
but not your system, I may in a later version add an option for
this when deleting images.
Picture Options: This will open the picture options screen, this
will be covered later.
Add picture: Use this to add a picture to the selected gallery.
You will notice these buttons will enable and disable this is
intended

Gallery Options
I will be covering this screen in detail Below

Print Selection
When you click this button the gallery screen will change this
is so you can still navigate the current gallery selecting
pictures to add to the print que as in image below

You will notice the following controls have now replaced the
normal controls:
Reports: This is the list of available reports you will have to
select one to print.
Print Selected: After you have selected your images to print
(I'll cover selecting images below) this will open said report
in preview mod if you make a mistake you can close the report
and select another.
Reset: This will undo all the changes and return the gallery
back to normal.
Selecting Images to print: you will notice in the top right of
each picture there is a white box if you click this it will
display a tick plus add an entry to the Picture Code list on the
left, You can navigate to other pages for the current gallery
but you cannot move to another gallery.
you will notice when navigating to other pages if you return to
a prevoius page all the buttons are unselected but if you select
a picture already in the list you will recieve this message.

if you want to undo a selection click it to untick it if you get
the above message just untick it again as the system detects
when you navigate to other pages and should only display this
message for images in list, The item wll then be removed from
the list on left
(I will add a task for next version show which have already been
selected by ticking the boxes)

Import Images
Clicking this buttons opens the screen below
First you will need to select the folder where the pictures are
stored, This MUST be the location you have set in preferences or
a subfolder of that folder or you will get a message telling you
you can't import from the selected location.
NOTE: You cannot change the location unless you have moved or
renamed the main folder the system must always point to the
location of your images
You will notice the Collection and gallery both have text in
them this is the default if you have a gallery selected on the
Picture gallery you can change this if adding pictures for a
different Collection and or Gallery, If you don't have anthing
selected on the picture gallery they will be blank.

When you have selected an image folder the system will update
the display to show how many pictures have been found (This is
the total found but some may not be imported due to disallowed
file types)
Both the import image button and the Pictures Found of the
Progress Meter will display the total found.
NOTE: depending on how many pictures are within the selected
folder there many be a delay of a couple of seconds while the
system gets the file count

Broken Links
When the broken links first opens the list at the bottom should
be empty, I have set it so a few are broken to be able to
discribe how to work with it.
Clicking the check images will check ALL pictures if it cannot
find a picture it will be marked and displayed in the list
below.
You can print the list by clicking the Print button this will
open the broken links report in preview mod.
Once the check images has completed if any items have been found
you have 2 choices

[li]You can delete the picture This will reorder the Gallery
(Just noticed the display is not updated after deleting I will
correct this in next version but the image is deleted and
gallery updated Fix Click F9 while in list)[/li]
[li]Or Click The Folder button and select the new location or if
changed the picture name the new named image (Again the diplay
update is missing click F9 to update it)[/li]

One other bit of information relates to the # Linked this is the
number of times a picture has been used for different galleries.

Show/Hide Thumbnails
You can set thumbnails in preferences please view the first
post.
Clicking this button will update the display adding a blue or
green dot to the bottom left of each picture As Below.
GREEN = Is a thumbnail Blue = Is the big picture
Using thubnails you must have a folder in the main folder with a
name matching the thumbnail folder name in preferences I will
cover how to make thumnails below

Creating Thumbnails
Click the button with the arrow for the image you wish to create
a thumbnail for

This will open the picture options screen as below: NOTE this
will be covered in detail later.

Click the edit picture option will open the picture in your
default image editor
Select Resize picture/Define custom dimensions (I use the Width
in the image below for all my thumbnails

Maintenance Option
Should you have problems with a gallery, Maybe you think a
picture is missing or you noticed something when reordering a
picture (Will be covered in later post) use this screen to
correct it
When you first open the maintenace the Gallery Name List should
be blank if not then duplicate pacements have been found for
each of the gallerys showing in the list.
click the gallery you wish to reorder then click the Reorder
Image placement button which will be enabled if their are
galleries in the list.
this will then loop thought the images for that gallery and
reorder them NOTE: The original order will be maintained as
close as possible.
For all other placement problems click the Update list with
galleries this will add all your gallerys to the list so you can
scroll through it until you find the one you want to reorder,
Again after selecting a gallery click the reorder image
placement

Image Options
Clicking the button shown below will open the picture options

Rename Picture
NOTE: This will alter the file name stored on your system
When you click the rename option the screen will grow with extra
options as below,
The new name is the name you wish to assign the image This must
not be the same as any other image stored it the folder
The Old Name is what it is called at present and cannot be
edited
Once you are happy with the new name click the Red Rename
picture button this will rename the main image and if their is a
thumbnail that as well so they match.

Copy To Other Gallery
Clicking the copy to Other gallery will again enlarge the screen
but this time with a Dropdown list and a button.
NOTE: I have updated the dropdown list to make it a bit more
user friendly.
Select the gallery you want to copy the picture to then click
the Copy to gallery button.
this will place a copy of the picture at the end of the selected
gallery (you can then use the Reorder gallery to move it where
you wish within the gallery I'll cover this after the Picture
Options)

Move To Other Gallery
This option has the same action as the copy to... but when you
click the move To other gallery it will remove the picture from
the current gallery and add it to the end of the selected
gallery Again you can use the reorder gallery to move it.

Reorder Picture
This will open the reorder picture screen.
the picture you are reording will be in the top right corner you
should note the number in the top left of all the pictures.
You can navigate the gallery using the dropdown list this will
contain a list of all the pages if there are more than 20 images
in the gallery.
I have set a defult action I.E. Exchange postions so I'll cover
this first.
Find the page that holds the image you wish to swap, in the top
left you will see the pictures placement to swap that image with
the top right one click the placement the answer the message,
you will notice the two images have swaped so you could repeat
the above with that image should you wish.
The option insert before picture works the same way for
selecting the image as above but this will add the picture in
front of the one you clicked the placement number of and reorder
the gallery to suit.
I have added a maintenance funtion just in case there is a
hiccup with the code thereI covered that above.

Searching The Database
When you first open the search engine the screen will show as
below:

For the Image search enter or select data from the options
provide to limit the search then click search you can repeat
this as many times as you wish until you are happy with the
results.
In the list you will notice their is a button to enable you to
view/edit the picture with the bg picture screen.
you will notice after you click search a number of new controls
appear these are so you can print the results, Just select the
report from the dropdown list and click the print button this
will then open the report in preview mod.
UPDATE: You can now view the big picture using the left button
and also display the page of the gallery by selecting the
gallery from the list then clicking the right button

Click the keyword tab at the top to display the keyword options.
The Keyword search allos you to select upto 5 keywords to limit
the list by all other parts work as above.

The Big Picture
Use the button first left above each picture or the button on
the search screen to view this screen.

Starting with the buttons at the top of the screen
View Picture/View Picture Details: These these two buttons to
flick between the big picture nd the details entry screen.
Edit Image: This will open the image in your default Image
editor where you can do things like create thumbnails or correct
the rotation With reference to the probem with displaying some
portrait images, This is also available on the picture options
screen, I added it to this screen as well as I found I kept
having to close this screen to be able to edit an image.
Rotate 90°: This will rotate the image 90°-> which will correct
to portait problem with the access image control but this will
alter the original picture which may not display correctly I
would recomend using the Edit image button if you use your
picture in any other programs
