CKGB @ DONINGTON HISTORIC FESTIVAL 1st to 3rd MAY

This first post of this topic will be updated as and when
information is received or becomes available.
DATE: 1st to 3rd May
VENUE: Donington International Motor Racing Circuit.
STATUS: National - Endorsed
DESCRIPTION: Static display plus dynamic displays on our own
tarmac arena as part of a headlining historic motor racing
event. Motor Racing Legends will be organising the motor racing
on the circuit, here is a link to what will be going on

JURISDICTION: NORA permit
EVENT SUPPORT ROLES:
Event Lead (General event management and planning, plus risk
assessment) – Ian Fletcher
Clerk of Course (Clerk of Course checklist and ensuring
regulation compliance) – Granville Nixon assisted by Jim
Rawnsley
Deputy Clerks of Course (Various supporting duties) – Ian
Fletcher, Tim Holdsworth, Tim Wheater.
Event Secretary (Processing entry forms & signing-on) – Tim
Holdsworth
Chief Marshal (Managing the marshal roster and briefing
marshals) - Ed Powell
Competitions secretary (Managing timekeepers, start marshals and
collating results) - Tim Wheater
Marshals – All entrants are expected to take turns to marshal
the activities.
Medical - Provided by venue
EVENT REGULATIONS: To be issued.
ENTRY FORM: To be issued.
COSTS: The CKGB costs will be detailed on the Entry Form, and
are expected to be approximately £30 per driver.
CKGB ACTIVITIES: In addition to the static display, activities
will probably include general practice, demonstration sessions,
pursuit racing, sprints, relay races and driving tests. The
activities will now be taking place on the Friday, Saturday and
Sunday.
OTHER COMMENTS: A CKGB camping area is available approximately
350m from the CKGB arena. You can camp from Thursday night, and
those with a long distance to travel back may be able to camp
Sunday night as well.
Electronic entry tickets will be emailed to all accepted
entrants (and accompanying support person) in the week prior to
the event.
Full-face helmets will be required for this event.

To be issued.
ENTRY LIMITATIONS: Any limitations will depend on how many
members volunteer to be officials. However, it is hoped that we
can support between 35 and 40 entrants.
ENTRANTS: Please can you give an early indication of entering
by posting a % probability of entry, which will allow the club
to gauge the amount of support required and finalise the entry
fees.
If the number of entrants needs to be limited, then a list of
"approved" entrants will be posted. Only APPROVED persons can
submit an entry form.

WOW, what a response :D
Many thanks to all those that have posted their probability of
entry for this event. Your responses greatly help with setting
the entry fee and defining the composition and size the support
team.
This will be our first year at Donington, but our general
limitation on entries is 30.
For this event, I am currently negotiating the size of our
camping area, and the amount of infrastructure that will be
required to define the tracks we will be using. There is going
to be a site visit by Jim Rawnsley and myself to define the
requirements. This will also help decide the size of the
support team we require.
Consequently, this year if we are going to accept more than 30
drivers. I will be selecting the most viable persons from the
entry list and then asking them to volunteer to fill various
posts. So, if we get a robust support team, then we may be able
to increase the entry level from 30 drivers to 35 or possible
even 40.
Once the entry size has been defined, the people on the list, in
list order, will be annotated as being "APPROVED" and then they
will be able to submit the entry form.
If an entry is not received within a reasonable amount of time,
then the next person on the list will be "APPROVED" ;D

SAFETY
The Arena that the CKGB activities will take place on has a hard
tarmac surface and rigid barriers and speeds of up to 35mph are
expected.
Consequently, please be aware that full-face helmets (with
visors or goggles) will be required for this event.
In addition, clothing made from reasonably abrasion resistant
material that covers the body to the wrists and ankles will also
be required together with strong gloves.
This will be detailed in the Event Regulations when they are
issued.

Jim R and I had a very good recce at Donington yesterday.
We will have our own dedicated camping area near to our arena,
so camping space is no longer a problem.
The exact location of our arena on the "Tarmac Lake" will not be
defined till the Friday of the event, consequently it will take
most of Friday to set it up.
The limiting factor regarding the number of entries will now be
the size of our arena, which will probably have a limit of 5 or
maybe 6 cyclekarts running at the same time. However, it is now
feasible that we can increase the entry size from 30 to 35
drivers.
We currently have 38 members showing an interest in entering
this event, and I expect to be able to post how the drivers will
be selected in the next few days.
Please note that due to the number of drivers entering this
event, that the activities will need to be run on a more formal
and regimented basis. There just wont be the time we normally
have to cater for people that miss briefs, have repetitive
breakdowns or teething problems, or who are simply not ready for
the next activity. If people miss the brief and/or practice for
an activity, then they will not be able to take part in that
activity.
All drivers will be expected to take turns marshalling the
event. There will probably be a rota of names, with a marker
showing who is currently out marshalling. Therefore, it will be
each drivers responsibility to keep an eye on the rota so they
are ready to marshal when their turn comes. There will be no
time for the support team to search for the next person.
Apologies, if all the above sounds a bit Draconian, but an event
with 35 drivers will require a great deal of managing. All the
above should be relatively simple for our more experienced
members, but novices (especially newcomers) may struggle. The
track will be quite busy, so drivers will need to be aware of
what is going on all around them and not just looking at the end
of their bonnets. Consequently, some drivers may wish to
consider whether they would be better off at one of the regional
or less hectic events, where the activities are much more
relaxed with plenty of time to deal with any issues.

IMPORTANT NOTICE REGARDING SUBMITTING ENTRY FORMS
Only those persons that are listed in the heading post of this
topic as being “APPROVED” are to submit entry forms. There will
be no refunds for mistakes.
Thankyou to everyone that had submitted their “probability of
attendance” because this has enabled the viability of the event
to be estimated and for the entry fees to be calculated.
However, the Event Secretary now needs to “approve” those
persons that can submit entry forms. Therefore, please
reconsider your probability of attendance and post if you wish
to change it.
On Friday 27th March, the Entry Regulations and the Entry Form
will be attached to the heading post.
At the same time any persons with a probability of 100% will be
approved to submit Entry Forms (the word APPROVED will appear
next to the name on the list). When the Entry Form has been
received and processed by the Event Secretary, then the word
ENTERED will appear next to the name on the list.
Please note that "approved" persons that do not submit an entry
form by the “Early-bird discount date” may be placed further
down the list for this event and the other National events
because you may have prevented someone else from entering.

I need your NORA License number to process your entry form.
If you haven't got your physical license yet, you can log in to
the NORA website and look under "My licenses" to get your
number.
This year's licenses start with B26. If yours starts with B25,
please renew it before submitting your entry form.

STOP PRESS - DONINGTON UPDATE
I had hoped to have issued the Supplementary Regulations by now,
but there have been recent significant issues at Donington which
will impact our activities.
I expect to issue the Supplementary Regulations by the weekend.
However, in the meantime, here are some notes you need to be
aware of:
* Activities will now take place on the Friday, Saturday and
Sunday.
* We are no longer on the "Tarmac Lake", we will now be on the
"Melbourne Loop", which is part of the International Circuit.
This is part of the proper race track, but we will no longer be
able to have "Pursuit races" and probably wont be able to have
"Team Relay races".
* Our track will be about 350m from our camping area (see
heading post for some more camping details).
* Transit to and from the track will be as a group in convoy
through the main race paddock.
* Entries close this Thursday 23 April.
* You should receive by email your electronic entry tickets by
Tuesday 28 April.
* FULL FACE HELMETS REQUIRED.
