Just got a message back from Sandra:
I have spoken with the landlord and have agreed we could
go up to 60 people.
The roast of the day will be roast beef.
As for finalizing numbers, the back door to the pub will be open
and somebody will be here to take numbers and payment from you
as early as you can (between 9 and 10ish I guess).
Do you have an estimated time when everyone will return? And
will they be wanting to eat all together or in dribs and
drabs?
Anyone know the answer to the dribs and drabs part?
And also would we be able to collect money in the morning? I'd
have thought people maybe more comfortable with it in the
afternoon at the main event :-\
What do you think? ???

Just some thoughts...
Dribs and drabs, rather than 'all at once' Don't expect everyone
will want to eat together...
Money early? What about those that only turn up for the event,
without doing the walk, but want to eat?
Maybe a gesture is part of the money early, from those doing the
walk?
It's almost a two sittings job.
Those on the walk that have ordered, then those that arrive
later.

I would have thought that the pub will not be able to serve us
all at once and I happy with dribs & drabs.
I can understand why the pub would like money up front but you
don't do that when you normally order food (unless you are at a
fast food outlet). I would be happy to pay a deposit before we
set off but we have to get going ASAP (no later than 9:30am) so
we will get back on time.
Griff:
Will you print a mini menu (for each 'team' + some spare) with
room for qty's and real name (of cachers) on it and if a deposit
is to be paid, what was paid. This would be for the pub to have
final numbers from the walkers. For those who have already
chosen what they are eating, it could be pre-filled in to save
time and given to cachers to confirm before we go on the walk.
For cachers not on the walk, you can only give the numbers
indicate by cachers who said they will be going BUT you must let
the pub know that these are only possible numbers.

Does someone else want to deal with money and payment, as its a
huge responsibility and I'm not very experienced in that field.
I emailed Sandra back, and her email is 1981.sandra@live.co.uk
My reply if you want to follow on was:
Hi,
By the back door do you mean the one at the side at the end of
the car park?
As for payment and eating times: We will be arriving back from
the walk around 1200, but this won't be all of us. Some
attendees will be coming on the walk and then into the pub,
whereas others will just arrive at some point at the pub.
Therefore if you take payment in the morning, it won't be from
everybody. Furthermore, we'd have to be leaving for the walk by
0930 at the latest in order to have then most time possible in
the pub afterwards.
To avoid things getting too complicated, if you'd still like
some money collected in the morning, it could done, and then
later when everyone is eating we collect the rest to hand to
you. Or if you suggest a time for us to collect it, or as people
leave they hand money, and we hand it to you once everyone has
left? Or we could get everyone on the walk to pay beforehand and
all the people going just to the pub to pay at a certain given
time?
Consequently, with eating times: Most people are going on the
walk, so most people will all arrive together. So eating
together will make sense. However, for those arriving at
different times, dribs and drabs. Perhaps I'll let those know to
arrive by a certain time such as 1315 or such? What do you
suggest?
I will be putting together a sheet of food orders for you, as
I've said. It will have their name, food preordered, deposits
needing to be payed, and whether it was payed etc, to hopefully
make it easier for us to see who's payed and who's eating what.
Apologies for earlier confusion that everyone attending was on
the walk, although most are.
Many thanks once again,
PS - walk tall please may you bring your "travel bug to move"
box ;)
EDIT TO ADD: I'm still happy to sort food orders, and do a form
if required, as I've been keeping count and talleys and lists
all along. It's just the collection and handing of the money I'd
rather not deal with, as I'm not responsible and knowledgeable
in that area, and perhaps too young to be responsible for it all
- it would be a great help if someone else could offer to help
out to sort out all the payments?

First - Trackable box already out :)
Second - What does the pub want as a deposit?
Third - Are the pub collecting the deposits as people are
unlikely to have the correct change?
Forth - At this late stage to be talking about collecting money
before the walk is adding complication. Is the pub insisting on
a deposit?
The two CacheWalker Events I've done, I've made it clear that
payment is the responsibility of the individuals attending but
kept reminding people to pay during the Event. Again, if we
collect money at the Event for the pub, change will be required
and will not people be buying drinks anyway. Couldn't we make
it, that once people get to the pub, they pay for their food
while they are paying for their first drinks; the pub could tick
them off the list so we/they can keep track of who has paid.
Griff - you can see why a lot of cachers keep Events simple :o

PS Again at this late stage, a telephone call (or visit) may be
best, as email could take too long to sort this out.

I can but I've not built up a rapport with the pub. I've got
their telephone number as: 01451 850358. Is it best to talk to
Sandra or ?
PS What names have you been referring to when talking to them,
was it just your Christian name and/or our group name?
