I've always just used a binder and/or accordion file with
dividers. You really don't need one that is specially designed
for weddings, although I'm sure they would be fun and pretty.
As to the other kind of wedding planner: I agree that having a
coordinator is a great investment. Our family used the same one
for our kids' bar and bat mitzvah and both weddings. We can't
imagine doing it without her or someone like her. She didn't
make the plans, she just executed what we wanted.
They save you a ton of money and headaches by helping you avoid
dishonest and unreliable vendors, and they know a lot of tricks
that save so much money that, in my experience, they pay for
themselves the first day.
They also know what works and what doesn't. They have seen it
all before (the experienced ones have, anyway). So something
that seems like a great idea might be -- but it might not be,
for some reason you can't possibly anticipate, but that they
know from experience, and they can sometimes help you avoid the
problem and do it successfully.
They remember all those little things that nonprofessionals
can't -- there's just too many -- and they take care of stuff
without even bothering you about it. Like, there will be a
sewing kit in her bag; if the caterer or florist forgot
something or is not following your instructions, she will make
sure it's taken care of, so you don't have to deal with the
aggravation during your wedding.
And don't forget the value of the peace of mind it gives you
during the months of planning. Every time I would start to
think, "Oh, my gosh, did we forget to/do we need to/do we have
enough/are we too late to/what about ____," I could relax and
think, "Bobbi's on it," and get back to sleep.
So given all the value a coordinator gives, and the fact that
they pay for themselves anyway if they are good, I see it as a
no-brainer.
It might be a no brainer if you can afford it, but I know hiring
any kind of event planner would be cost prohibitive for me.

I’m sure that paying a physical coordinator is well worth it for
some events, but it just wasn’t necessary at mine.
I trusted the venue staff to sort things out or to ask me/mum/MC
if they needed assistance.
We’re a couple of things overlooked? Sure. We’re they important?
No.
We forgot to do our toast, mostly because the venue forgot to
put out the glasses. Whoops. We did it the next day at the
family bbq/present opening event.
I honestly don’t know what the coordinator would have done all
day.

Oooh, yeah, gotta agree that a day-of coordinator is priceless.
Mine was only $100, but I'd have gladly paid five times that.
Having someone take care of all the dumb little stuff so that I
could just enjoy my own wedding was amazing.
The only thing that she messed up was that she said she put the
top tier of our cake in our room, but she didn't. Not sure where
it ended up. I called my husband on the drive home the next day
to see if he grabbed it, and he said he did... but he thought I
meant the cake topper. :(
How did you find one that cheap? The ones I found were like
$1600!

I don't remember what we paid, but I do know that her advice and
many cost-saving tricks saved us more than she cost.

Rather than buying a planner/book, We decided to keep all the
information on a floppy disk (remember those?) with a backup
copy on my home computer.
If I had to do it again now (12 years later), I'd use my laptop
or Android tablet to keep track of everything.

She came with the venue! I guess they figured that since folks
are already paying them several thousand dollars, they might as
well have the same person take care of stuff every time. I'm
fairly certain that day-of coordinators are usually cheaper than
full-on wedding planners, though. The DOC is just there for one
day, maybe the rehearsal dinner, too. Planners do loads more.

I had a day-of coordinator (sort of) that was a friend of my
mother's who liked weddings. We paid her $100 to be at the
reception site to keep an eye on things.

I had a spreadsheet I created myself. It never occurred to me
to get a wedding planning book, and we couldn't afford hiring
anyone other than day-of servers. My spreadsheet was fine. I
wouldn't say that nonprofessionals wouldn't remember the little
details. I hadn't thought of one detail, and it was really not
that big a deal. My favorite thing about my spreadsheet was
that for my seating chart tab, I could easily move around names
as I figured out who would sit where. I also obtained a floor
plan from the building manager where our reception would be held
that was accurately scaled so that made it easy to figure out
spacing, what would fit and where.
I do recall coming across some wedding planning templates
online, but they really didn't fit my needs because they assumed
a lot of aspects that we weren't going to have (like a
professional photographer). It was easier to just create my
own.
I did find something useful on theknot.com -- the countdown
timeline. I didn't use theirs, but it helped me count back from
the date of the wedding to figure out by when specific things
needed to be completed.

I don't have any advice on the specific planner, but I did once
hear the editorial director of Martha Stewart Weddings talk
about the financial planner they used to print in the magazine.
It had everything listed; it as VERY comprehensive.
She worried that people would think the magazine expected them
to buy ALL those things, but she was more worried that people
would be blindsided by expenses they hadn't realized could crop
up. And she hoped that by putting everything on there, it would
encourage people to decide in advance to eliminate something and
then they could hold firm.
So, look at the budget lists as a comprehensive overview
intended to help you weed things out.

One thing I liked about the wedding wire budget planner was that
it was super easy to delete stuff that was unnecessary for me
(like videographer and florist) and add in the things I felt
were important (like crafting supplies).
